Users play a crucial role in the Matics system. They enable you to manage access permissions, determining who can access specific resources, and what actions they are allowed to perform.

Users can be managed through roles, with each role granting varying levels of permissions. This allows you to assign a "view-only" role to your workers while providing your IT team with an "ADMIN" role for greater access and control.

Managing users is important for several reasons:

  1. Security: Proper user management helps protect sensitive information by ensuring that only authorized individuals have access to specific resources.

  2. Control: It allows you to define and enforce access levels, ensuring that users can only perform actions relevant to their roles.

User management being 100% on the client side means that all aspects of user access and permissions are controlled directly by the organization using the Matics system. This setup provides several advantages:

User Management

Entering the User Management System

  1. First, login to the web system - make sure the account have the right permissions.

  2. In the left bar, choose Settings, then User Management.
    Note: If you can't see either of those options, make sure the user you are logged with have the right permissions.

How to add new users

  1. To create a user, make sure you are in the Users section, click on the action bolt in the right of your screen, then click on Create new user.

  2. Then, Fill the following required fields:

    1. User Group: The permissions a user receives are determined by their participation in a group. For instance, if a user is assigned the role of Admin, they will have the highest level of permissions.

    2. First Name: Enter the first name of the user.

    3. Last Name: Enter the last name of the user.

    4. Username: To ensure that each username is unique, no two users can share the same username. Usernames will be created by combining the first name and last name. In instances where two users have identical first and last names, an additional identifier will be added to differentiate them.

    5. Password: The user's password must include:

      1. a lowercase letter

      2. an uppercase letter

      3. a number

      4. a special character (!@#$%^&*)

    6. Confirm Password: rewrite the password.

    7. Email: the user's email - will be used for password recovery and user verification.

  3. If needed, Fill the following optional fields:

    1. Phone: the phone number of the user.

    2. Worker ID: If designated, the user will be classified as a worker, which means they will not have any web permissions. The worker ID represents the internal ID for the worker.

    3. Is technician / Is Shift Manager: If checked, the user's role will be classified accordingly.

    4. Department: Enter the department to which the user belongs.

How to deactivate a user

  1. Locate the user in the user list. You can filter the list by First Name, Last Name, or Username.

  2. Scroll to the right to access additional options.

  3. Uncheck the Is Active toggle to deactivate the user.

User Groups

User groups are internally managed collections of users that govern individual user permissions. During the app configuration process, each group or role is assigned distinct permissions. The default roles include:

Group name (Role)

Description

System Admin

Full access to all system settings, user management, and configuration. Responsible for initial setup and ongoing maintenance.

Technician

Basic access to the web app

Read Only (Worker)

Can only login via the tablet and can't access the web app.

Shift Manager

Higher access to the web app

Each role permissions can be changed only through your CSM or through Matics support.

What is a worker

A worker role can be assigned to a user, which automatically revokes their access to the web platform. Users with this role can only access the tablet version of the application. This role is intended for employees working on the production floor.

To assign a user the worker role:

  1. Enter the Users tab, find the desired user, and click on the users index

  2. Inside the user settings, enter the Worker's ID (the corresponding ID in you internal systems). This would automatically assign the user the "Worker" role.

worker type

The "Worker Type" section within User Management allows you to manage the sub-roles of workers, such as Team Leader or Shift Leader. For each worker type, you can set the Cost per Hour and specify the Language, enhancing overall efficiency in your operations.

Azure user

These are user accounts stored in Azure Active Directory (Azure AD) and used to log in to the Matics system through a secure, external authentication process, similar to “Login with Google.” Instead of managing passwords directly within Matics, authentication is handled by Azure AD, allowing users to sign in with their existing organizational credentials.

This approach adds an extra layer of security and simplifies user management for IT teams. It also enables seamless integration with company-wide policies like multi-factor authentication, access control, and automatic user provisioning or deactivation.

How to reset password

To reset the password you have two main options:

Option 1 - Via the Login screen:

Note: Not relevant to Azure users, only to internally managed users.

  1. In the Login Screen click on Forgot your password?

  2. Then Enter your email (the email must be assigned to the user) and click on Send my Password

  3. Then, enter your email, find the recovery mail and click on Change my Password

  4. Finally, Enter the new password

Option 2 - Via the manager web system:

Note: Please use this method only if option 1 didn't work.

To change the password via the web system, talk to your factory's Matics representative.

  1. Once logged in, and in the User Management, enter the Users tab, find the desired user, and click on the users index

  2. Then, click on the lighting bolt, and click on Reset Password. Then Enter the new password and click Finish

How to enter the factory name on tablets cockpit and OpApp

The factory name in the tablets cockpit and the OpApp matches the prefix of the web URL. For instance, if your web URL is staging.my.leadermes.com, the corresponding factory name would be staging.
